Tour Prices

Our tour programs are customized to the specifications of the customer. All tour prices are based on costs, taxes and tariffs as known at the time of booking. Package pricing is based on negotiated, confidential rates with suppliers. It is not company policy to provide itemization or component pricing on tour packages.

Where applicable, Suburban Tours reserves the right to adjust tour prices should a currency fluctuation of more than 3% apply. All rates based on tariffs in effect at the time of booking and could vary by departure. Increases will be passed along on a dollar for dollar basis.

Cancellation Policy

Unless otherwise noted on your proposal, and subject to adjustment based on the requirements of our suppliers, the following cancellation and refund policies apply to your tour:

Group cancellations made more than 90 days prior to departure will be charged a fee of $50.00 per person plus any non-refundable supplier charges and other contracted obligations such as airline tickets, festival application fees, theater tickets, hotel deposits or other prepaid non-refundable charges.

Group cancellations between 60 and 90 days prior to date of departure will incur a penalty of $75.00 per person plus non-refundable payments forwarded on behalf of the group and other contracted obligations. Group cancellations between 30 and 60 days prior to date of departure will incur a penalty of $100.00 per person plus non-refundable payments forwarded on behalf of the group and other contracted obligations. Group cancellations within 30 days of departure owe 100% of their invoiced balance; if no room list has been received, group will owe 100% of the cost of their originally confirmed, projected count based on the quad occupancy rate.

Individual cancellations will result in revising the invoice based on the resulting room list as though the canceling party was not part of the group to begin with. In addition, those participants canceling 15 – 45 days prior to departure (air or sea programs) or 21 days or less prior to departure (land programs) will be assessed a $100.00 cancellation service charge in addition to any non-refundable payments forwarded on their behalf. Participants canceling 7 days or less prior to departure (air or sea programs) or 14 days or less prior to departure (land programs) will receive no refund. Cancellations must be made in writing via fax or registered mail (return receipt requested) and acknowledged by our office to insure application of refund. Cancellations by fax delivered after the close of business or on Saturday or Sunday or on a holiday will be considered delivered on the following business day.

Note: Individual cancellations may have the effect of increasing transportation surcharges assessed to the group. Such cancellations will also affect the rate of other occupants of the assigned room, and may decrease the complimentary chaperone credit (if applicable, subject to the terms of your proposal).

Note: Without exception, we strongly advise all groups to secure trip cancellation/interruption insurance. Please be aware that documentation of individual payments will be required in the event a claim is submitted; we advise issuing dated receipts for all payments made to the group by cash, bank check or money order.

Note: Insurance premiums are non-refundable. Insurance covers only the specified components of your trip proposal as arranged by Suburban Tours. Should you decide to independently add features to the program, such additions may not be covered by the insurance plan. Group participants should be so advised.

Liability-Limiting Terms and Conditions

Any person reserving or purchasing any Suburban Tours product accepts the condition that the Operator reserves to itself the exclusive right to change or cancel itineraries, hotels, and other tour components whenever it is deemed necessary

Published times on itineraries are as accurate as possible but subject to change due to traffic, weather, mechanical and any other conditions beyond the Operator’s control that prevent the Operator from operating as scheduled. The Operator expressly disclaims any liability for any damages that may be incurred for any changes, cancellations or delays on any itinerary on any tour.

All rates are accurate at the time of printing but are subject to tariff changes announced by the airline company at any time or changes in taxes charged.

Baggage Disclaimer: Although every effort is made to handle passengers’ luggage as carefully as possible, the Operator is not responsible for and does not assume liability or accept claims for loss of or damage to luggage due to breakage, theft or wear and tear through hotel or airline handling. Baggage and personal effects are the sole responsibility of the owner at all times. It is recommended for your own self interest and protection that you have adequate insurance to cover these eventualities. Check with your sales agent for low cost insurance to cover these risks.

General Disclaimer: Suburban Travel Agency, Inc., its employees, affiliates, officers, directors, successors, agents and assigns (collectively, “Suburban Tours”), do not own or operate any person or entity which is to or does provide goods or services for these trips, including, for example, lodging facilities, airline, vessel or other transportation companies, local guides or guide services, local ground operators, providers or organizers of optional excursions, food service providers, etc. All such persons and entities are independent contractors. Because it does not maintain any control over the personnel, equipment, or operations of these suppliers, Suburban Tours assumes no responsibility for and cannot be held liable for any personal injury, death, property damage or other loss, accident, delay, inconvenience, or irregularity which may be occasioned by reason of (1) any wrongful, negligent, willful or unauthorized acts or omissions on the part of any of the suppliers or other employees or agents, (2) any defect in or failure of any vehicle, equipment, or instrument owned, operated or otherwise used by any of these suppliers, or (3) any wrongful, willful or negligent act or omission on the part of any other party not under the supervision and control of Suburban Tours.

Without limitation, Suburban Tours is not responsible for any injury, loss, or damage to person or property, death, delay or inconvenience in connection with the provision of any goods or services occasioned by or resulting from, but not limited to, acts of God or force majeure, acts of war or civil unrest, insurrection or revolt, strikes or other labor activities, criminal or terrorist activities of any kind, overbooking or downgrading of accommodations, mechanical or other failure of airplanes or other means of transportation or for any failure of any transportation mechanism to arrive or depart timely, dangers associated with animals, sanitation problems, food poisoning, lack of or quality of medical care, difficulty in evacuation in case of a medical or other emergency, or for any other cause beyond the direct control of Suburban Tours.

Suburban Tours reserves the right to make changes in the published itinerary, whenever, in their sole judgment, conditions warrant, or if they deem it necessary for the comfort, convenience, or safety of the tour. They reserve the right to withdraw any tour announced. They reserve the right to decline to accept any person as a member of the tour, or to require any participant to withdraw from the tour at any time, when such action is determined by the tour manager to be in the best interests of the health, safety, and general welfare of the tour group or of the individual participant. Suburban Tours reserves the right to cancel any trip with its sole obligation to refund all monies received by it for the trip. Suburban Tours reserves the right to increase the tour cost if cost of the tour elements goes up. Trip participants are solely responsible for securing their own passports, visas, medical inoculations, etc. Should a group or individual cancel their trip, Suburban Tours reserves the right to pass along any out of pocket non-refundable expenses that have been forwarded to any supplier or vendor on behalf of the group or individual subject to contractual obligations. Other penalties may apply.

Neither does Suburban Tours accept liability for any carrier’s cancellation penalty incurred by the purchase of a non-refundable airline or other ticket to the tour departure city and return or otherwise.

Payment of the deposit to Suburban Tours constitutes acceptance of these terms and conditions.

Arbitration: I agree that any dispute concerning, relating, or referring to this contract, the brochure or any other literature concerning my trip, or the trip itself, shall be resolved exclusively by binding arbitration according to the then existing rules of the American Arbitration Association in Rhode Island. Such proceedings will be governed by substantive Rhode Island law.
